Cancellation and Refund Policy

At Coconut Land Holidays, we understand that plans may change. Our Cancellation and Refund Policy is designed to be fair and transparent, outlining the terms under which cancellations are processed and refunds are issued.


1. Cancellation by the Client

All cancellation requests must be submitted in writing to [email address] and are subject to the following charges based on the time remaining before the tour start date:

  • 30 days or more before arrival: 25% of the total tour cost (advance retention fee)

  • 15–29 days before arrival: 50% of the total tour cost

  • 7–14 days before arrival: 75% of the total tour cost

  • Less than 7 days before arrival: 100% of the total tour cost (no refund)

  • No-show or mid-tour cancellation: 100% of the total tour cost (no refund)

Note: Special cancellation terms may apply during peak seasons (e.g., Onam, Christmas, New Year). These will be clearly communicated at the time of booking.


2. Cancellation by Coconut Land Holidays

We reserve the right to cancel a tour due to:

  • Unforeseen circumstances (e.g., natural disasters, political unrest, health advisories)

  • Failure to meet minimum group size (for group tours)

  • Operational constraints

In such cases, customers will receive:

  • A full refund of the amount paid, or

  • The option to reschedule the tour to a later date


3. Refund Process

  • Refunds will be processed within 10–15 business days after the cancellation request is approved.

  • Refunds will be issued via the original payment method (e.g., bank transfer, credit/debit card reversal).

  • Transaction fees (if applicable) may be deducted from the refund amount.


4. Non-Refundable Components

The following are typically non-refundable once booked:

  • Flight tickets (as per airline policy)

  • Special permits/entry fees

  • Third-party service charges (e.g., houseboat bookings, luxury resort stays)


5. Force Majeure

Coconut Land Holidays is not liable for cancellations due to events beyond our control, including but not limited to:

  • Natural disasters (floods, landslides)

  • Government travel advisories

  • Pandemics/epidemics

  • Political instability

In such cases, we will offer:

  • Credit for future travel valid for 12 months, or

  • Partial refunds after deducting non-recoverable costs incurred for your booking


6. Modification Policy

  • Date/itinerary changes are subject to availability and may incur rebooking fees.

  • Changes requested within 15 days of arrival may be treated as cancellations and rebookings.


7. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance covering trip cancellations, medical emergencies, and unforeseen events.


8. How to Request Cancellation

  • Your booking ID

  • Reason for cancellation

  • Preferred refund method
